Workflow

Find sources with Perplexity, then build research notes you can verify in Notion

Use AI search to find leads. Verify important claims on the original pages, then record them in Notion by hand.

Sources checked

Editorial guidance compiled from official documentation; the workflows were not individually tested. The source-check date on this page records when the listed references were reviewed, not product testing or ongoing monitoring.

Tools referenced

Who this is for

For small teams comparing tools who need a traceable record of why they chose them.

Example scenario

A team is comparing online whiteboards and reference tools, focusing on collaborator access, export formats, and migration. Check official help pages against the same tasks, then record which differences affect the team's workflow.

A five-step path from search to notes

  1. Break the question into searchable parts

Turn tasks into access, export, and migration questions. Copyable prompt: We are a small team comparing online whiteboards and reference tools. Prioritize each product's latest official help pages. Compare collaborator access, export formats, and ways to move content. Give the page title, URL, document date, and check date. State only documented facts, mark missing details, and do not guess or invent sources. [1]
  2. Open each source yourself

Open every link and check the publisher, update date, scope, and passage behind each claim. A working link does not prove the page supports the answer.
  3. Create a Notion research library

Make a Sources database with one row per page. Fields: title, URL, publisher, document/check dates, topic/task, access notes, export/migration notes, conclusions, open questions, and status. Copyable row: Title | URL | Publisher | Doc date | Check date | Topic/task | Access | Export/migration | Conclusions | Questions | Status. Filter by topic or verification status. [2] [3]
  4. Separate facts from advice

Put only supported statements in Conclusions, your recommendations in Editorial judgment, and unknowns in Open questions. “The guide supports PNG export” is a fact; “export SVG weekly” is a recommendation to check against actual delivery needs.
  5. Return to sources before reuse

Recheck the page before writing. If it is old, out of scope, or conflicts with another source, retain the dates and disagreement instead of presenting a search summary as settled.

The trade-off

Separate discovery, checking, and filing so later readers can trace each statement. The cost is manual page review and link upkeep. Perplexity results do not sync into Notion through this workflow, and citations do not guarantee completeness or accuracy.

Before you use it

  • Record search and document dates; help pages can change.
  • Do not enter internal files or access credentials into public search.
  • Keep needed notes and links; avoid copying large sections of protected text.

Frequently asked questions

Should I open links included with an answer?
Yes. Check the original publisher, date, scope, and relevant passage. Cross-check access or migration details against another official page if they affect team continuity.
Should a Notion row represent a page or a claim?
For a small project, use one row per source and keep related conclusions and open questions in fields. Split Sources and Claims into linked databases only when the collection grows enough to justify it.
